What do I do if I want to stay in my room outside term-time?

In some circumstances you will be able to arrange to stay in your college room beyond normal term time.  This is known as ‘vacation residence’ or ‘vac res’.

If you are living in College, the normal charging period is from Thursday of 0th week to Saturday morning of 8th week. You will need vacation residence if you plan to stay in College outside of those dates. You do not need advance permission to arrive on Tuesday or Wednesday of 0th week, though you will be charged the vacation residence daily rate (currently £17.58 per day (2012/13 rate)).

Eligibility

The College Handbook states: "Permission for vacation residence will usually be granted only to students:

  • taking examinations
  • doing academic work under the supervision of their tutor
  • undertaking some other bona fide course of study
  • helping with College functions under the supervision of a College Officer
  • whose main residence is overseas."

Some undergraduate rooms have a 38-week lease, but these are not given to first years.

Getting vacation residence

You will need to apply to the Home Bursar with a vacation residence form by 5th week of term.

Owing to the December admissions process there is no vacation residence available at the end of December for any category of student, other than those who have exams.

Applications from international students for extended stays are viewed sympathetically (with the exception of the end of Michaelmas Term).

Undergraduates who live in Bodicote House, Savile House, Sacher Building and New College Lane and have a 38-week lease (from 1 October to 23 June) do not need to apply for vacation residence for the Christmas and Easter vacations.

If your request for vacation residence is not confirmed you must leave your room by 10am on the last Saturday of term. If you do not leave your room or you remain after the end of your permitted vacation residence period you will incur the daily conference rate of £63.00 for each night you stay up without permission.
